Your booking system works. But is it working for your field?

Your booking system works. But is it working for your field?

If you take your dog field bookings through a generic booking tool – the sort originally built for beauty salons and personal trainers – it probably gets you by. But is ‘getting by’ good enough, or do you find yourself picking up the slack?

One of the benefits of owning your own business should be more freedom. But between the reschedule requests you still manage via WhatsApp, the gate codes you change and send out manually, and the payments you end up chasing, you may actually have less downtime than you would in full-time employment.

So the real question isn’t whether your system works. It’s how much of the work you are still doing yourself, and what that’s costing you.

The time it takes

At first glance, the jobs a generic tool doesn’t cover seem negligible. Sending a gate code or rescheduling a booking only takes a minute or two. But busy fields can easily see upwards of 50 bookings a week, and if each one comes with a couple of ‘few-minute’ tasks, it soon makes a big dent in your time.

What makes it even more disruptive is that these tasks don’t come in one convenient block; they’re peppered throughout the day, from early morning to late evening, taking time away from other jobs, leisure and family.

The money you don’t see

Some costs don’t show up on any invoice.

Empty slots. If someone cancels at the last minute, the slot is usually lost unless you have time to offer it round or re-advertise it. Without an automatic waiting list, cancellations often mean lost money.

Unpaid bookings. If payment isn’t taken upfront, you can end up chasing it or, worse, accepting that you may never see it.

Paying to unlock the basics. Many generic tools lock useful features behind a tiered system. Initially, you might think the system is free or cheap, but you soon realise that to use features such as automatic reminders, online payments or waiting lists, you’ll need to pay. If just one feature you need is on the premium plan, you’ll end up paying the highest fee.

Adding up your subscription costs, losses to cancellations and missed payments can give you an idea of how much your current system really costs.

What your customers notice

Repeat customers are the backbone of a successful dog field, and ease of booking is one of the key factors in whether people come back.

If customers repeatedly have trouble receiving gate codes on time, have to contact you directly to rearrange a booking, or arrive to find the previous group still leaving, they may start to look elsewhere – even if you have better facilities. For owners of reactive dogs, even one close encounter at the gate can be enough to put them off.

A generic tool doesn’t cause these problems, but it doesn’t solve them either. It leaves you to prevent each one by hand, which increases the risk of something being missed.

Help from people who know what a dog field is

If you’re using a big, generic booking system and something goes wrong, you’re likely to be one of many tickets in a support queue. The person who answers may never even have heard of a dog field, let alone understand how one operates.

It helps to talk to people who already understand what a dog field needs, who are familiar with things like slots and gates, and who can explain the technical side plainly. As one field owner, Lisa, put it:

“Muddy Booking have taken a non tech person and explained everything in such way that I understand and feel confident to move forward with our new online booking system.”

Questions to ask about your current system

The questions below can help you gauge how much your system is really helping you. If you’re answering ‘no’ or ‘I do that myself’ to several, it might be time to make a change.

  • Does every customer get the right gate code automatically, without you needing to send it out?
  • Can customers still get in if there’s no phone signal at the gate?
  • Is payment taken at the time of booking?
  • When someone cancels, is the slot offered to others automatically, without you sending any messages or making a social media post?
  • Can customers reschedule their own bookings?
  • Is there a single diary that you trust completely, with no chance of double bookings?
  • Are all the features you need included in what you pay, with no hidden costs?
  • When you need help, can you talk to someone who understands your industry?

Where Muddy fits

Muddy Booking was built for secure dog walking fields and nothing else, by a small team in Cornwall. It takes bookings and payment upfront 24/7, and sends gate codes and reminders automatically. It fills cancellations from a waiting list, lets customers reschedule themselves, and keeps one clear diary with no double bookings. With our Igloo smart lock integration, codes change on schedule and work with no signal.

Every core feature is included on every plan, and plans only differ by how many bookings you take. Email notifications are free. The only extras are optional add-ons that carry outside costs, like Igloo smart locks and WhatsApp or SMS credits, and their prices are listed upfront. See the pricing page for details.

Switching doesn’t mean starting from scratch. We’ve written about what moving to Muddy actually looks like, step by step. Your first 25 bookings are free, with no time limit, no card needed and no setup fees. If you’d rather talk it through first, call us on 01637 222123 or email team@muddybooking.com.
